1. Policy Statement

[ORGANISATION NAME] is committed to recruiting and retaining staff of the highest quality who share our values and commitment to the safety and wellbeing of service users. All appointments are subject to satisfactory completion of the required pre-employment checks before the individual begins work.

  • No individual may begin regulated activity without satisfactory DBS clearance
  • All checks are documented on the DBS and Pre-Employment Checks Tracker (FORM07)
  • Checks are proportionate to the level of contact with service users
  • This policy applies to employees, volunteers, students, bank workers, and agency staff
2. Required Pre-Employment Checks

The following checks must be completed before any individual commences employment or volunteering in a regulated activity: enhanced DBS with children's and/or adults' barred list check (as appropriate); verification of identity (passport or photo ID and proof of address); right to work in the UK (Immigration, Asylum and Nationality Act 2006 compliance); verification of qualifications relevant to the role; minimum two satisfactory references from previous employers or known professionals; health declaration; and registration with professional bodies where applicable (NMC, HCPC, SWE).

3. DBS Update Service

Where practicable, [ORGANISATION NAME] will encourage staff to register with the DBS Update Service, allowing continuous monitoring of DBS status. The Registered Manager reviews the Update Service status of all registered staff at least annually.

4. Overseas Applicants

Where an applicant has spent time overseas in the past 5 years, [ORGANISATION NAME] will request a certificate of good conduct from the relevant country's embassy or law enforcement body, in addition to the UK DBS check.

5. Record Keeping and Review

All pre-employment check records are maintained on FORM07 and held securely in the staff personnel file. Records are retained for the duration of employment plus 6 years. This policy is reviewed annually.
